Appointments can get hard to manage once your day has a mix of short bookings, longer sessions, buffers, and follow-ups that still need attention after the visit. This appointment calendar template is designed for planning your schedule in time blocks so you can plan the week ahead, then keep the plan updated as confirmations and changes come in.

This appointment calendar is designed around two inputs at the top right. You set a Start Date to control the date range across the calendar and a Start Hour to align the time column with your opening time. After that, you can fill the slots directly in the grid, use the checkbox column as a quick status marker, and keep reminders in the notes area so they stay tied to the schedule.

Start Date and Start Hour

The Start Date field anchors the calendar to the day you want to begin scheduling. This is useful when you plan a new week, shift the calendar forward after the current range ends, or set up a specific run of days for a project, clinic rotation, or service schedule.

The Start Hour field controls the first hour shown in the time column. If you start earlier or later than the default, changing this keeps your visible time blocks aligned with the hours you actually book.

Main Appointment Grid

The main grid on the left is designed for detailed booking in 15-minute increments. Each day column uses repeating rows labeled 00, 15, 30, and 45, so it is easy to block out short sessions, place buffers between appointments, and review overlaps before the day begins.

Each time row includes a small checkbox cell and a larger writing area. You can use the checkbox as a quick marker for booked, confirmed, completed, or any status you prefer. The writing area is where you enter the appointment details, such as a client name, service type, location, call note, or a short reminder for prep and paperwork.

This format suits clinics, salons, tutors, coaches, consultants, front-desk teams, and service businesses that book multiple sessions per day and need time spacing to stay accurate.

Two-Day Side Panel

On the right, the template includes an extra panel for two additional dates. This space is useful for overflow bookings, weekend carryover, or a short look-ahead after the main block of days is filled.

The side panel uses a compact hour-based layout with the same checkbox-and-notes pattern, so quick bookings and reminders stay readable even when the schedule is busy.

To Do and Notes

Below the side panel, the To Do / Notes area gives you a checklist space for items that matter for the schedule but do not belong in a specific time slot. You can track confirmation calls, paperwork to send, deposits to record, follow-ups to complete, and day-level reminders that affect multiple appointments.

Keeping these items next to the calendar makes them easier to review while you book and update the week.

Mini Monthly Calendar

The template includes a mini calendar at the bottom right for quick date context while you schedule. It is useful for checking where your planned days sit in the month and confirming dates during booking calls or coordination with a team.

File Formats and Editing Notes

This template is available in Excel and Google Sheets, so you can use the version that fits how you plan and share schedules. In Excel, you can keep a local copy for daily planning and printing. In Google Sheets, you can keep the calendar accessible online for coordination across devices and team members.

If you manage more than one calendar, you can duplicate the sheet and label each tab by staff member, room, or service line. The same layout stays in place, so each calendar reads the same way.

How do I schedule an appointment that lasts longer than 15 minutes?

Use consecutive time slots for the same appointment. You can repeat the same note across multiple rows, or merge the note cells for that time range so it reads as one block.

How should I mark cancellations or no-shows if I want to keep the entry?

Keep the appointment text for reference, then add a short label such as “Canceled” or “No show” at the start of the line. If you want a visible difference, apply strikethrough to the text or use a consistent keyword you always use for canceled slots.

Can I change the time spacing from 15-minute blocks to 30-minute blocks?

Yes. You can hide every other 15-minute row so the grid reads in 30-minute steps, or adjust the row height and use one writing line per half hour. Test the change on a duplicate copy first so the layout stays readable.
