Notes from Each Visit

Anything that does not have its own field goes in the Notes column. For a hair salon this might be the color formula used, the products the client took home, and if they confirmed the next appointment before leaving. For a therapist it could be a one-line summary of what was covered and the focus for next time. For a dental office it might be the procedures done that visit and any follow-up to schedule. Brief is better than long here, since the column is read at a glance during the next visit and a long entry slows that down. If a note stretches past two short lines, it likely belongs in a separate client record and the note here should point to where the longer write-up lives.

The Title field carries a short label describing the day. Some practices fill it with the staff name working the day, like Dr. Khan or Maya at the front desk. Others use it for the day’s focus, such as Color Day at a salon or New Patient Intakes at a clinic. The Week Of field beside it holds the week’s starting date, useful when the page is kept as a record and looked back through later. Together the two fields anchor a single day inside a longer working calendar without rereading every entry.

The hour range, column labels, and colors are all open to adjustment. A clinic that closes by 6 pm can shorten the time list and remove the evening rows. A hair salon working late on a Thursday can shift the entire range later by an hour or two. Replacing the Phone column with Email is one swap that comes up often for practices that confirm in writing, and adding a column for Status or Confirmed beside Notes works when the front desk wants to mark each visit as it happens.
