A staff schedule is the weekly plan that shows who is working, when they are working, and which shift they are assigned to. This template is designed for teams that schedule by shift across the full week and want a clean view that managers and staff can read quickly.

Using this template, you can plan coverage for one department, location, or unit at a time. At the top, you fill in the department name and the week start date. Below that, the schedule is divided into four shift blocks, each covering Sunday through Saturday. The shift blocks come with preset time ranges that cover a full day across four shifts.

What This Staff Schedule Includes

The template is set up with four sections labeled Shift 1 through Shift 4.

Shift 1 uses 9:00 a.m. to 2:00 p.m.
Shift 2 uses 2:00 p.m. to 7:00 p.m.
Shift 3 uses 7:00 p.m. to 12:00 a.m.
Shift 4 uses 12:00 a.m. to 6:00 a.m.

Each shift section has a day-by-day row area where you assign staff for that shift on each day. Under each shift, there is a Staff’s List area where you can keep a quick roster of everyone assigned to that shift during the week.

How to Fill and Use It Effectively

Enter the department name and the week start date first. This keeps the schedule easy to identify when you print it, share it, or save weekly copies.

Review the shift time ranges next. If your workplace uses different hours, update the time range text for each shift so the schedule matches your real coverage plan. If you do not operate overnight or you only run two shifts, you can remove the unused shift blocks and use the extra space to widen cells or add more rows for longer name lists.

Assign staff day by day inside each shift block. If multiple people work the same shift on the same day, write each name on its own line inside the day cell. If you schedule by role, you can also list roles next to names, such as “Front Desk” or “Closing Manager,” so staffing coverage is easy to check at a glance.

Use the Staff’s List area under each shift to keep the weekly roster for that shift. This section is useful when you want to scan who is on Shift 2 all week, confirm that each shift has the right mix of roles, or quickly spot if someone appears on multiple shifts.

Common Ways Teams Use This Template

Managers often use this format when staffing levels change by day, when weekends need different coverage, or when shifts rotate. It is also useful when you need a schedule that can be posted for staff and still be readable from a distance.

If your schedule needs handoffs, add a short handoff note beside the assigned staff name in the shift cell, such as a reminder for opening tasks, closing tasks, or coverage overlap. If your workplace tracks call-outs and last-minute swaps, you can note changes directly in the day cell and update the Staff’s List so the weekly roster stays accurate.

Tips for Better Coverage Planning

A good weekly schedule is not only about filling names into boxes. It is also about reducing gaps and avoiding accidental double-bookings.

One way is to fill the hardest-to-cover shifts first, such as late evenings, overnight coverage, or days where you historically have more absences. After that, fill the remaining shifts and review each employee’s total shifts for the week so workloads feel reasonable.

How can I adjust the template if my workweek starts on Monday?

You can change the day headers to match your workplace. Some teams prefer Sunday to Saturday, while others plan Monday to Sunday. Pick one approach and keep it the same across weeks so staff do not misread dates.

What is the best way to use the Staff’s List area under each shift?

Use it as the weekly roster for that shift. Many teams list names once and add a role or position beside each name. This gives you a quick view of who is assigned to that shift overall, even before you check the day-by-day cells.

How do I handle split shifts or partial coverage on the same shift?

Write the employee name with a short time note in the day cell so it is obvious that the person is not working the full shift. If multiple people split the same shift, list each person on a separate line so coverage gaps are easier to spot.

Can I use this template for on-call coverage or non-standard shifts?

Yes. You can rename any shift block to match your need, such as “On-Call,” “Training,” or “Special Event Coverage,” and then assign staff the same way. Update the time range text so it reflects what that block represents.

What should I do if one shift needs more staffing than the space allows?

Add additional lines within the day cell, or expand the available writing space so longer lists remain readable. You can also shorten names to first name plus last initial when space is tight, as long as staff can still identify themselves clearly.
